Privacy Policy for NetNote

NetNote is a voice-first memory assistant for professional networking. This policy explains what information NetNote collects, how it is used, and the third-party services involved in delivering the app.

Information We Collect

Account information. When you sign up, we collect your email address for authentication. Voice recordings. When you record a voice memo, audio is captured on your device and transmitted to a speech-to-text service for transcription. Images. When you scan a business card, the image is transmitted to an AI service for text extraction (OCR). Images are not retained on our servers after processing. Contact data you enter. Names, titles, companies, notes, tags, tasks, events, and follow-ups that you create or that are extracted from your voice memos and scans. Device permissions. Microphone access is required to record voice memos. Camera access is required to scan business cards. Neither is used for any other purpose, and both can be revoked in your device settings at any time. NetNote does not use advertising identifiers and does not track you across other apps or websites for advertising. We do use analytics to understand how features are used so we can improve the app, as described under Usage Data below.

b) Contact InformationThe App stores contact information you create, including names, email addresses, phone numbers, and any notes or tags associated with each contact. This information is generated from your voice memos or entered manually by you.

c) Account InformationIf you choose to create an account, we collect information necessary to identify and authenticate you, such as a user ID. Account creation is optional.

d) Usage DataWe may collect information about how you interact with the App, such as features used and frequency of use, to improve our service.

e) Device InformationWe may collect basic device information, such as device type and operating system version, for compatibility and troubleshooting purposes.

How We Use Your Information

To authenticate your account and sync your contacts across devices. To transcribe voice memos and extract structured contact information using AI. To provide the core functionality of the app (viewing, editing, and organizing your contacts).

Third-Party Services

NetNote relies on the following processors to deliver the service: Supabase — handles authentication and stores your account and contact data. See Supabase's privacy policy. Google Gemini API — processes voice recordings (speech-to-text), images (OCR), and transcripts (contact parsing). See Google's Gemini API terms and privacy policy.

  • Service Providers: We use third-party services like Supabase to store and process data on our behalf. These providers are bound by data protection agreements.Legal Requirements: We may disclose information if required by law or to protect the rights, safety, or property of NetNote, our users, or others.Business Transfers: If NetNote is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Conference Mode and Information Shared with Others

Conference Mode is an optional feature that applies when you attend an event that uses NetNote.

  • Conference Mode is off unless you join a conference.
  • To join a conference, the only information you are required to share is your name. Any other details, such as your title, company, or contact information, are optional and are shared only if you choose to add them.
  • Other attendees at the same conference can see your name and any optional details you choose to share.
  • The organization hosting the event can see connection-level activity, such as which attendees connected and overall activity volume. The host cannot see the content of your voice memos, transcripts, or private notes.
  • Voice recordings, transcripts, and private notes are never shared with the host or with other attendees.

Data Retention and Deletion

Your contacts and account information are retained as long as your account is active. You can delete individual contacts at any time from within the app. To delete your account and all associated data, contact us at the email address below and we will process the request within 30 days.

Data Security

Data is transmitted over HTTPS. Account authentication is handled by Supabase using industry-standard practices. No system is perfectly secure; we cannot guarantee absolute security.

6. Your Rights and Choices

You have the right to:

7. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your associated data within 30 days, except where retention is required for legal or operational reasons.

Children's Privacy

NetNote is not directed at children under 13 and we do not knowingly collect information from children under 13. If you believe a child has provided us with information, contact us and we will delete it.

International Users

Your information may be processed and stored in the United States or other countries where Supabase and Google operate. By using NetNote, you consent to this transfer.

Changes to This Policy

We may update this policy. Material changes will be reflected by updating the "Last updated" date at the top of this page.
