Privacy Policy for NetNote

NetNote is a voice-first memory assistant for professional networking. This policy explains what information NetNote collects, how it is used, and the third-party services involved in delivering the app.
Information We Collect
Account information. When you sign up, we collect your email address for authentication.
Voice recordings. When you record a voice memo, audio is captured on your device and transmitted to a speech-to-text service for transcription.
Images. Any photo you take of a business card is processed on your device and is not uploaded to our servers. Contact data you enter. Names, titles, companies, notes, tags, tasks, events, and follow-ups that you create or that are extracted from your voice memos.
Device permissions. Microphone access is required to record voice memos. Camera and photo access is used to add a profile or contact photo. Neither is used for any other purpose, and both can be revoked in your device settings at any time.
Purchases. NetNote Pro is sold through Apple's App Store. Apple processes the payment, and we never see your card details. We use RevenueCat to check and manage your subscription. RevenueCat receives your NetNote user ID and your App Store purchase records: the product, purchase and renewal dates, and whether it is active.
NetNote does not use advertising identifiers and does not track you across other apps or websites for advertising. We use PostHog for product analytics. When you are signed in, analytics is linked to your account (user ID and email) and includes standard technical data such as your IP address, approximate location, and device and browser type. We never send your contacts' details, voice transcripts, or searches to analytics, and we do not use advertising trackers.

Third-Party Services
Supabase — handles authentication and stores your account, contact, and event data. See Supabase's privacy policy.
Deepgram — transcribes your voice memos (speech-to-text). See Deepgram's privacy policy.
Google Gemini API — reads your notes, both voice-memo transcripts and typed notes, to fill in contact details such as name, title and company. When you ask for a follow-up draft, it also receives the contact's details, your notes about them, and your name, role, company and About line, and writes the draft. PostHog — provides product analytics so we can understand how the app is used and improve it. See PostHog's privacy policy.
RevenueCat — manages NetNote Pro subscriptions. Receives your NetNote user ID and App Store purchase records.
Vercel — runs the server functions that pass your notes to Deepgram and Gemini.
Apple and Google — provide optional sign-in.
Your permission. We ask before your notes are first sent to Deepgram or Gemini, and you can turn this off at any time in Settings.
Legal Requirements: We may disclose information if required by law or to protect the rights, safety, or property of NetNote, our users, or others.
Business Transfers: If NetNote is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Conference Mode and Information Shared with Others
Conference Mode is an optional feature that applies when you attend an event that uses NetNote. It is off unless you join a conference.
To join a conference, the only information you are required to share is your name. Any other details, such as your title, company, or contact information, are optional and are shared only if you choose to add them. Other attendees at the same conference can see your name and any optional details you choose to share.
If you add a profile photo for an event, it is stored and served from a publicly accessible link.
The organization hosting the event can see connection-level activity, such as which attendees connected and overall activity volume. The host cannot see the content of your voice memos, transcripts, or private notes. Voice recordings, transcripts, and private notes are never shared with the host or with other attendees.
Data Retention and Deletion
Your contacts and account information are retained as long as your account is active. You can delete individual contacts at any time from within the app. If you delete your account, we will delete your associated data within 30 days, except where retention is required for legal or operational reasons. You can delete your account and its data in the app under Settings > Delete Account, or by emailing support@netnoteapp.com.
Data Security
Data is transmitted over HTTPS. Account authentication is handled by Supabase using industry-standard practices. No system is perfectly secure; we cannot guarantee absolute security.
Your Rights and Choices
You have the right to:
Access the personal information we hold about you
Correct inaccurate information
Delete your account and associated data
Export your contact data
Withdraw consent for processing where applicable

Children's Privacy
NetNote is not directed at children under 13 and we do not knowingly collect information from children under 13. If you believe a child has provided us with information, contact us and we will delete it.
International Users
Your information may be processed and stored in the United States or other countries where our service providers, including Supabase, Deepgram, Google, PostHog, RevenueCat and Vercel, operate. By using NetNote, you consent to this transfer.
Changes to This Policy
We may update this policy. Material changes will be reflected by updating the "Last updated" date at the top of this page.
